Privacy Policy

We at Ensemble Travel ("Ensemble") recognize the importance of protecting the privacy of personal data or personally identifiable information ("Personal Information") about the individual travelers and partners who do business with our company. The following Privacy Policy discloses what information we gather, how we use it, and how to correct or change it. Please note, however, that we may update and amend this Privacy Policy from time to time.

Ensemble Travel business operations

Ensemble Travel is a member owned consortium of travel agencies. We negotiate deals with suppliers such as hotels, cruise lines, tour operators, and airlines ("Travel Suppliers") on behalf of our members. We also sell marketing services to our members. In the course of our business operations, we provide our members and their customers access to search and booking tools operated by third parties ("Technology Suppliers"), which are sometimes white labeled so that they appear to be operated by Ensemble.

Ensemble Travel recognizes that many countries have adopted laws that apply to Personal Information about the individuals we encounter in the course of conducting business. This privacy policy covers how Ensemble Travel collects, stores, and uses information about individual travelers, employees of our member agencies, and the staffs of companies with which we do business.

International transfers of Personal Information

Ensemble processes personal information in data centers located in the United States, Canada, and Australia.

Personal Information will be sent to Travel and Technology Suppliers in order to perform or conclude contractual-related measures related to your current or desired relationship with Ensemble, its members, and its Travel Suppliers. These companies may be located in a country that may not offer the same level of statutory protection for your Personal Information as your home country, or in countries that are not subject to an adequacy decision by the Commission.

Collection, use, and disclosure

Ensemble Travel might obtain personal information in a variety of different ways. We ask our members for information about their travel agents in order to provide those agents access to our extranet. We also collect basic information about our contacts in other companies we do business with.

We collect information about individual travelers in some circumstances. For example, a list of passengers on a cruise might be assembled by Ensemble and sent to a cruise line, in order to ensure that those passengers receive the extra benefits they're entitled to because they are the customers of Ensemble member agencies. Ensemble has an obligation to make sure the commissions paid to its members are accurate; we collect information from Technology Partners, which might contain passenger information, in the course of doing this work. Ensemble also works with our Technology Providers to help our members conduct online and print marketing. These communications are sent from our members to their customers.

This Personal Information may include:

  • name
  • gender
  • postal address
  • e-mail address
  • telephone number
  • credit card and payment information
  • travel and accommodation details
  • special travel requests, such as a request for a disabled room or a special meal

We disclose personal information to Travel and Technology Suppliers, as well as to the processors that act on their behalf, to carry out our business activities, and to help perform the underlying contracts with travelers and our members.

Data security and integrity

Ensemble Travel maintains reasonable measures to protect Personal Information from loss, misuse, unauthorized access, disclosure, alteration and destruction. Ensemble also takes reasonable steps — to the extent reasonably possible in the context of our role as an intermediary — to keep Personal Information accurate, current, complete, and reliable for its intended use.

Data retention

Ensemble Travel retains Personal Information no longer than is necessary to comply with legal obligations and to fulfill legitimate business and compliance purposes. It is Ensemble's policy to keep Personal Information for a period of no more than 3 years following the end of the year in which the business associated with the collection of the data was completed.

De-personalized data

Ensemble Travel analyzes, uses, discloses, and processes statistical and other data in de-personalized (anonymized) form that Ensemble obtains or generates in connection with its business. This data is used to track sales volume for individual members, and to identify trends and other activities in the travel industry.

Information from minors

Ensemble's services are not intended for use by minors. We do not knowingly collect Personal Information from any minor.

Data access and correction requests and other questions

European data privacy laws grant Europeans certain rights with respect to the:

  • access
  • correction
  • erasure
  • portability
  • restriction or objection to processing of their own Personal Information

As a practical matter, individuals may first wish to contact the Ensemble member Travel Agency as the most efficient means of addresses any issues. Individuals may direct any other requests, questions, or complaints relating to their own Personal Information to Ensemble Travel at or to the Data Protection Officer at the address specified below. Ensemble retains the right to use reasonable measures to authenticate the identity of any individual who makes a request in respect of the Personal Information or otherwise raises any questions.

Once we receive your inquiry we will investigate the matter and respond to you promptly. We will endeavor to do this within 30 days. If this is not possible, we will endeavor to contact you and let you know about a revised time frame.

This policy is published by Ensemble Travel. Ensemble Travel is a company existing under the laws of the United States, with its office at 256 W 38th St, New York, NY, USA. We may update this policy from time to time and will post a prominent notice to inform users about significant changes.
